English Club for USA (“ECUSA,” “we,” “us,” or “our”) provides online English-learning, admissions, homework, examinations, books, events, certificates, student support, and related account services. This policy applies when you visit our website, create or use an account, apply to become a student, make a purchase, or communicate with us.

01Who this policy covers

This policy covers website visitors, applicants, students, instructors, administrators, event participants, book customers, and people who contact or subscribe to ECUSA communications. A third-party website or payment page linked from our platform is governed by that provider’s own privacy policy.

02Information we collect

The information depends on how you use ECUSA and may include:

  • Account and contact details: full name, email address, password in encrypted form, WhatsApp number, country calling code, profile photo, account role, level, and email or WhatsApp verification status.
  • Admission information: requested course level, application reason, application status, payment information, and related review decisions.
  • Identity-verification information: the name requested for academic records, an uploaded proof document, review status, rejection reason, and reviewer note.
  • Learning and academic records: class level, homework answers and submissions, examination answers and attempts, automatic and manual component scores, results, promotions, report cards, and certificates.
  • Transaction records: the item or fee, amount, currency, payment provider or method, provider reference, payment status, and purchase date for admissions, exams, books, and events.
  • Communications: support requests, contact-form messages, email delivery records, WhatsApp verification messages, and communication preferences.
  • Technical information: IP address, device and browser information, session identifiers, access times, pages viewed, and security or diagnostic logs.

We collect information directly from you, automatically through the website, from authorized staff who record an offline payment or academic decision, and from service providers when they confirm a transaction or message.

03How we use information

  • Create, authenticate, secure, and support accounts.
  • Review applications and name-verification requests.
  • Assign learning levels, deliver materials, receive homework and exams, calculate results, manage promotions, and issue academic documents.
  • Process purchases, prevent duplicate purchases, provide access to paid items, and send receipts.
  • Send service messages about verification, password resets, homework, live exams, grading, results, certificates, purchases, and support.
  • Operate events, improve the website, measure usage, prevent abuse, troubleshoot problems, and maintain backups.
  • Comply with applicable obligations and protect ECUSA, its learners, and the public.

04Learning records and grading

Objective questions may be graded automatically using stored correct answers. Written responses and other manual components may be reviewed and scored by an authorized instructor or exam corrector. Homework completion may also contribute automatically to a session score.

Academic results are not released to students until the authorized publication step. If you believe a recorded answer, score, placement, or promotion is incorrect, contact us so it can be reviewed.

05Identity and WhatsApp verification

To protect the accuracy of certificates and report cards, students may submit an identification document showing their name. Authorized admissions staff use it only to review the requested academic name.

Document retention: after a name-verification request is approved or rejected, the uploaded proof file is automatically deleted after 30 days. The non-document review record—such as status, requested name, reason, and dates—may remain as part of the account history.

For WhatsApp verification, we store the normalized number, a short-lived verification code and token, attempt and expiry information, and limited security data such as the originating IP address. Verification is completed only after the expected message reaches our connected WhatsApp Business account.

06Payments, books, and events

Online payments may be processed by MonCash or another provider displayed at checkout. Staff may also record eligible offline payments using the method you used. Payment providers process information under their own terms; ECUSA stores the transaction record needed to confirm access, issue a receipt, handle a reversal, and maintain financial records.

ECUSA does not currently ask you to enter or store a full credit- or debit-card number on its own platform. A successful book purchase grants access to that digital book; exam and admission payments are tied to the applicable service or session.

07Email, WhatsApp, and other communications

We use email for essential account and learning messages, including verification, password reset, submission confirmation, grading, exam availability, results, certificates, receipts, and support. If you request a brochure or other optional material, we use the details you provide to deliver it.

WhatsApp may be used to verify that you control a number and, where appropriate, communicate about ECUSA services. Meta receives information needed to deliver WhatsApp messages. Do not send sensitive documents through ordinary messages unless ECUSA specifically asks you to use an approved channel.

08Cookies and analytics

We use essential cookies and similar technologies to keep you signed in, protect forms, remember session state, and secure the platform. We also use Google Analytics to understand general website usage, such as sessions, pages viewed, approximate location, browser, and device information. Google Analytics uses identifiers such as first-party cookies.

You can control cookies through your browser and, where available, consent controls. Blocking essential cookies may prevent login, checkout, exams, or other account features from working correctly.

09When we share information

We do not sell or rent personal information. We disclose only what is reasonably needed to:

  • authorized ECUSA personnel who manage admissions, courses, homework, examinations, payments, support, and academic records;
  • instructors assigned to the relevant level, subject to role-based access limits;
  • hosting, email, analytics, Google sign-in, WhatsApp/Meta, payment, backup, and technical service providers that help operate the platform;
  • government authorities, courts, professional advisers, or other parties when required by law or reasonably necessary to protect rights, safety, security, and prevent fraud; or
  • a successor organization if ECUSA undergoes a lawful reorganization, with appropriate treatment of personal information.

Some providers may process information in countries other than yours. Their locations and legal protections may differ, and we use them only for legitimate operational purposes.

10How long we keep information

Retention depends on the record and why it is needed. Account and academic records may be kept while the account is active and afterward when needed to preserve results, report cards, certificates, security, dispute history, or legal obligations. Transaction records may be kept for accounting, reconciliation, fraud prevention, and proof of purchase. Technical logs, temporary codes, and incomplete operational records are retained for shorter periods or removed through scheduled cleanup.

Backups may contain information for a limited period after it is removed from the live system. They are protected and used for restoration, continuity, and security—not ordinary account access.

11How we protect information

We use safeguards appropriate to the platform, including encrypted connections, password hashing, email verification, role-based access, verification limits, protected administrative areas, monitoring, and verified backups. No website or transmission method can be guaranteed completely secure. Please use a unique password and notify us promptly if you believe your account has been compromised.

12Your choices and requests

Subject to applicable requirements and legitimate recordkeeping needs, you may ask us to:

  • confirm whether we hold personal information about you;
  • provide access to or correct eligible information;
  • delete eligible information or close your account;
  • update or re-verify your WhatsApp number;
  • stop optional promotional messages; or
  • review an academic or admission decision that you believe is based on incorrect data.

We may need to verify your identity before completing a request. Some records cannot be immediately deleted when needed for academic integrity, transactions, security, disputes, backups, or legal obligations.

13Younger learners

ECUSA may provide educational services to younger learners. A parent or legal guardian should participate when the learner cannot legally provide consent on their own. Parents or guardians may contact us about a learner’s personal information, and we may request proof of authority before responding.

14Changes to this policy

We may update this policy when our services, technology, providers, or obligations change. We will post the revised version here and update the effective date. If a change materially affects how account holders’ information is used, we may also provide notice through the website or email.
